Following your replies: reading the screen

“Follow up” is the screen where your households’ replies arrive. It updates by itself, about every 60 seconds while the tab is visible: no need to reload the page.

1The three tiles

• The people who are “coming”: the total number of people announced by the households that replied “yes”. Children are included in this total.
• The households “pending”: those that have not replied, those that replied “maybe”, and those on the waitlist. The tile breaks these three groups down. When there are only households with no reply, it says so.
• The households “not coming”.

Each tile is also a filter: tap it to see only those households in the list, tap it again to go back to all of them. The tiles count people (the first) or households (the other two): it is written underneath. A reply given without a personal link counts in the replies but not in the household list, so the tiles do not always add up to the number of households.

2At the top of the screen

• A countdown to the celebration (D-n, “Tomorrow”, “It’s today”), calculated on the day at the location.
• The reply rate: the percentage of households that have replied.
• “New reply”: the most recent reply, flagged as new for 24 hours.
• A “Next step”: Tov suggests the most useful action of the moment (invite, send, remind, open the arrival list on the day, thank guests after the celebration).

The “Replies, day by day” chart shows the replies of the last 14 days. A household counts there only once, on the day of its latest reply.

3The list of replies

You can search for a household (name, email, or message), filter (“All”, “Attending”, “Pending”, “Not attending”), and sort by “Most recent” or “By name”. Under “Pending”, a note reminds you how many households have not replied yet: they have no row until they reply.

Open a reply’s record to correct it (“Edit”): name, number of people, reply, phone, email, kashrut, allergies, message. When the reply is broken down by ceremony, the headcounts are edited from the household’s personal link, not here; the contact details remain editable. Tov does not let you enter a reply on behalf of a household that has not replied.

4Totals by moment

When the celebration has several moments, a card gives the headcount for each one. These headcounts include children and do not add up as unique people: the same person can come to several moments. For the caterer, Tov uses the largest moment of the “party” type.

5Exporting

• Under “Export”: “PDF — printable list” and “Export CSV” (a file you can read in a spreadsheet).
• In the moments card: “Export” gives the households by ceremony.
• Under “For the caterer”: “CSV — households per ceremony” and “Caterer plan (HTML)”, to print or save as a PDF for the caterer.
