Reminding households who haven’t replied: 3 at most, never within 48 h

How to remind households who haven’t replied: who gets a reminder, how many times, and what Tov does (and does not do) for you. Nothing goes out without you.

A reminder is a new WhatsApp message to a household that received the invitation but has not replied. Tov helps you spot them and prepares the message; you send it yourself, exactly as you did the invitation. Nothing is automatic: Tov never sends a reminder for you.

Who gets a reminder, and when

Tov suggests a reminder for a household when all of these conditions are met: it has a phone number, you marked its invitation as sent, it has given no reply, it has received fewer than 3 reminders, and the last one was at least 48 hours ago.

  • Three reminders at most per household, and never less than 48 hours apart: Tov does not suggest a fourth reminder.
  • A household that replied “maybe” is not reminded: a “maybe” is a reply. It still counts as “pending” in the follow-up.
  • A household with no number cannot be reminded on WhatsApp: add a number, or copy its link to get it to them another way.

The three-reminder limit and the 48-hour delay are rules of the Send page: it is the page that won’t offer you a reminder too soon. They do not stop you from writing to a relative yourself by another means.

The steps

    Spot the households to remind

    In “Follow up”, the “Next step” card offers “Remind” when households have not replied. In “Send”, a button reading “Remind the N without a reply” does the same thing.

  2. Step 2

    Check the message

    By default, the reminder message is the same as the invitation message. Edit it before sending: a gentler tone, or the deadline by which you need a reply. The personal link must stay in the message.

  3. Step 3

    Open WhatsApp, one household at a time

    The “Reminding households who haven’t replied” page works like sending: “Open WhatsApp”, you tap Send in WhatsApp, then you confirm “Yes, it’s sent”. The card tells you whether it is that household’s first, second, or third reminder.

  4. Step 4

    Pick it up later

    When there is no one left to remind, Tov says so: “Nobody to remind for now: everyone replied, or the last reminder was less than 48 hours ago.” Everyone has replied, or the last reminder was less than 48 hours ago. Then go back with “Back to invitations”.

The day-before note

Another message you can send: “Day-before note to the households who are coming”. It is offered when the celebration is today or tomorrow, for the households that replied “yes”: a short note with the time and the place. Tov does not record it on the server: the page only remembers, for the length of your visit, who you have already sent it to.

Tip

The number of households to remind shown in the follow-up can differ from the one on the Send page: the follow-up counts every household without a reply, whereas the Send page also applies the three-reminder limit, the delay, and the presence of a number. Trust the Send page.
