Send the invitation on WhatsApp, household by household

Tov prepares each household’s message with its personal link; you send it yourself in WhatsApp, then confirm. Opening WhatsApp is not the same as sending.

Tov doesn’t send anything on your behalf. From the “Send” step, it prepares a WhatsApp message with a personal link for each household. You send it yourself, from WhatsApp, then tell Tov it’s done.

WhatsApp is currently the only way Tov sends invitations. Tov doesn’t send texts or emails to your guests.

Before you start

  • The invitation must be published. If it isn’t, the page tells you (“Publish your invitation first”) and offers “Publish the invitation”.
  • At least one household needs a phone number. Otherwise you’ll see: “No household has a number yet”.
  • The email address on your account must be confirmed. It’s the only lock: until it is, you can prepare everything, but you can’t send.

The steps

  1. Step 1

    Open “Send”

    The page shows one household at a time, with its place in the queue. Households that have a phone number and haven’t received the invitation yet appear there.

  2. Step 2

    Read the message

    By default, it’s the message Tov suggests, in each household’s language. You can edit it (“Edit”), start from a saved message, or write your own text. Keep [personal link]: it’s what opens the household’s invitation.

  3. Step 3

    Open WhatsApp

    Tap “Open WhatsApp”. WhatsApp opens with the chat and the message ready: all that’s left is to tap Send in WhatsApp.

  4. Step 4

    Come back and confirm

    Back in Tov, answer the question: “Yes, it’s sent” if the message went out. Nothing is marked as sent until you say yes. If it didn’t go out, tap “Not yet”, or “Open WhatsApp again” to try again.

  5. Step 5

    Move on to the next household

    Tov shows the next household. “Skip” moves a household to the end of the queue; “Put first” (in another household’s list of choices) moves it to the front. At the end, “Everything is sent!” appears and “See the replies” opens your tracking.

Warning

Opening WhatsApp is not sending. Tov can’t know whether you tapped Send: it’s your “Yes, it’s sent” that marks the household as notified.

The message

There are three possible sources: the message Tov suggests, a message you’ve saved, or your own text, the same for every household. You can insert [household name], [personal link], [your names], [date] and [venue]: Tov fills them in for each household. The personal link is required. The date and time are written in the venue’s local time.

WhatsApp limits the length of a message (4096 characters). Beyond that, Tov warns you and the household no longer has a send button.

Tip

“Send it to me first” opens WhatsApp with no recipient: pick yourself to see the message arrive just as your guests will. The link in it is a preview for organizers (all moments), not a household’s link.

The text you edit is kept on the device and browser you’re using, not by Tov. On another device, you’ll see Tov’s suggested message again.

Households WhatsApp can’t reach

A household with no phone number, an invalid number, or a message that’s too long has no WhatsApp button. It appears under “Not reachable on WhatsApp”, with “Copy their link”: copy its personal link and send it another way, whichever you prefer.
