A campaign lets you send a personalized WhatsApp message to a group of guests. Learn how to create, send and track your campaigns.

What is a campaign?

A campaign (or "send") is a batch of WhatsApp messages you prepare for a group of guests. It is the main method for sending your invitations in an organized way on Tov.events.

Specifically, a campaign brings together:

  • A personalized message — the invitation text that each recipient will receive via WhatsApp, with the link to your invitation included automatically.
  • A list of recipients — guests selected individually or by category (family, friends, colleagues).
  • Send tracking — for each guest, you know whether the message has been sent or is still pending.

For example, you can create a first campaign to send the initial invitation, then a second campaign to follow up with those who haven't responded yet. You keep full control: messages are sent one by one from your phone.

Create a campaign

To create a campaign, go to the Sends tab of your event and click the New campaign button. A 3-step wizard guides you through the process:

  • Step 1: Choose recipients — select guests individually by checking their names, or select an entire category (family, friends, colleagues). Guests who are already recipients of another campaign are flagged to avoid duplicates.
  • Step 2: Write the message — compose your invitation text. Each guest's name and the link to your invitation will be inserted automatically. You can also use the AI assistant to draft or translate your message.
  • Step 3: Review and create — review the summary (number of recipients, message preview) then click Create campaign to confirm.

Once the campaign is created, you access the send dashboard with the full list of recipients and their WhatsApp buttons ready to use.

Send the messages

Once the campaign is created, you access the send dashboard listing all your recipients. Here is how to send your invitations:

  • Click the WhatsApp button next to a guest's name. WhatsApp opens with the pre-filled message and the correct phone number.
  • Review the message if needed, then press "Send" in WhatsApp.
  • Back on Tov.events, the guest is automatically marked as "sent". You can also mark them manually if needed.

The progress bar at the top of the page shows how many messages have been sent and how many remain. You can send all messages at once or come back later to continue — your progress is saved.

Quick Send

You don't need to create a full campaign to message a few guests. Quick Send is a convenient shortcut accessible directly from the guest list.

Here is how to use it:

  • From the Guests page, check one or more guests in the list.
  • Click the Send button that appears in the action bar.
  • A window opens to write your message. The link to your invitation is included automatically.
  • Confirm and the WhatsApp links are ready — all you have to do is send from WhatsApp.

Quick Send automatically creates a mini-campaign in the background to keep track of your sends. It is the ideal method for quickly adding a few people without setting up a full campaign.

AI translation

If your guests speak multiple languages, you can translate your message automatically using the artificial intelligence built into Tov.events.

To translate your message:

  • In the campaign editor (creation or editing), click the translation button (globe or flag icon).
  • Choose the target language: French, English, Hebrew or Spanish.
  • The translated message replaces the current text. Review it carefully before confirming, especially for proper nouns and formal expressions.

The translation respects the tone of your original message (elegant, festive, casual). For a multilingual event, create one campaign per language — for example one in French for the family and one in Hebrew for friends in Israel.

Reminders

For guests who haven't responded yet, you can create a reminder campaign in one click. It is a powerful tool to improve your response rate without following up with each person individually.

Here is how to create a reminder:

  • From the home page or the Sends tab, click the Create a reminder button.
  • The system automatically selects only guests with no response as recipients.
  • A suitable reminder message is pre-written for you. You can edit it as you wish.
  • Confirm and send like a regular campaign — one WhatsApp button per recipient.

To enable the reminder shortcut, go to Settings > Organization > Features and turn on the Reminders option. We recommend sending a reminder about one week before your event.

Campaign types

Tov.events offers three types of campaigns to cover all your communication needs with guests:

  • Initial invitation — the first send to invite your guests to the event. This is the most common type, used for the first point of contact.
  • Reminder — a friendly follow-up for guests who haven't responded yet. The tone is generally shorter and more direct.
  • Update — to inform your guests of an important change (new time, venue change, updated program, etc.).

The type is chosen automatically based on context (first campaign = invitation, created via "Create a reminder" = reminder), but you can always change it manually during creation. The type helps organize your campaigns and understand your send history.
