Import, organize and manage your guest list efficiently with Tov.events' powerful tools.
The most straightforward way to add guests is manual entry. From the "Guests" page of your event, click the add button and enter each person's details:
You can add as many guests as you need. Each added guest appears immediately in your list and can be edited or removed at any time.
This method is ideal for adding a few extra people or for smaller lists. For larger lists, the import methods below will be faster.
For larger guest lists, Tov.events offers four powerful import methods that save you valuable time. Each method is designed to be simple and accessible, even if you're not tech-savvy.
Regardless of the method you choose, you can preview and verify each contact before adding them to your list. No duplicates will be created if the phone number already exists in your list.
If you're using Tov.events on your mobile phone, you can access your contacts directly to select the people you want to invite. It's the most natural and fastest method.
Tap the "Import from phone" button, then select the contacts you want from the list that appears. Names and phone numbers will be automatically retrieved.
This feature uses your mobile browser's Contacts API. Your data stays on your device and is only transmitted when you confirm the import.
The VCF (vCard) format is the universal standard for contact files. You can export your contacts from most apps (iPhone, Android, Outlook, Gmail) in VCF format, then import them into Tov.events.
To import a VCF file:
Tov.events automatically analyzes the file and extracts the names, phone numbers and email addresses from each contact. A VCF file can contain a single contact or hundreds.
Have a list of names and numbers in a document, email or spreadsheet? Simply copy it and paste it into Tov.events. Our smart system automatically detects names and phone numbers.
Accepted formats are very flexible:
After pasting your list, you'll see a preview of the detected contacts with the option to correct or remove entries before confirmation.
Connect your Google account directly to import your contacts in just a few clicks. It's the ideal method if you use Gmail or an Android phone.
Here's how:
Tov.events uses the Google People API with a secure OAuth connection. We only access your contacts (read-only) and do not store your Google credentials. You can revoke access at any time from your Google account settings.
Regardless of the import method you choose, Tov.events always provides a preview screen before permanently adding contacts to your guest list.
On this screen, you can:
This validation step guarantees you full control over your guest list. No contact will be added without your explicit confirmation.
Your guest list is fully editable at any time. From the "Guests" page of your event, you can manage each contact individually:
The guest list displays a clear summary with the total number of guests, responses received and confirmations. You can filter and sort the list by various criteria to quickly find a guest.
Categories let you organize your guests by category to make managing and sending your invitations easier. You can create as many categories as you need.
Common category examples:
Categories are particularly useful for group sending: you can select an entire category to send invitations in a single operation. They also help you track responses by category (for example: how many family members have confirmed).
To create or manage your categories, go to your event settings, "Categories" section.
Bulk actions let you act on multiple guests at once, which is particularly useful for large lists. From the guests page, you can select multiple people and then perform batch operations.
Available bulk actions include:
To use bulk actions, check the boxes next to the relevant guests (or use the "select all" checkbox), then choose the desired action from the menu that appears. Bulk actions save you considerable time when managing dozens or hundreds of guests.
In addition to the standard attendance confirmation, you can add custom questions to the response form your guests will fill out. It's a powerful tool for gathering important information for your event planning.
Useful custom question examples:
Custom questions are configured in your event settings. Each guest's answers are visible in the guest list and in the message feed, making it easy to compile all the information you need.
On the day of your event, use the Arrivals page to check in guests as they arrive. For each guest, a +/− counter lets you adjust the number of people actually present (the guest and their companions).
Check-in gives you a real-time view of the number of people who have arrived versus confirmations. A visual notification confirms each check-in. You can also search for a guest by name to find them quickly in the list.
Each guest has a detailed profile accessible by clicking their name. On mobile, this profile opens as a full page for comfortable viewing. On desktop, it appears in a side panel.
The profile gathers all the guest's information: contact details, RSVP status, number of companions, category, messages left and a complete timeline of all their interactions — RSVP responses, campaigns received, invitations sent. You can edit information directly from this profile.
If you have enabled gift tracking in your event settings, a "Gifts" tab appears in each guest's profile. You can add a gift received from that guest, with the amount and currency.
It's a convenient way to record gifts as they come in during your event, without leaving the guest list. Gifts added here also appear on the global Gifts page and in the balance calculation (gifts − expenses).
