Import Guests — Every Way Possible

Nobody wants to type 200 names by hand. Tov.events supports guest import from multiple sources: phone contacts, Excel or CSV files, and Google Contacts. Pick your source, select the people you want, and within seconds everyone is on your list.

The system automatically detects duplicates — if a guest is already on your list, it won't add them again. You can also import phone numbers only, or names only, and fill in the missing details later.

Custom Categories

Organize your guests into categories that fit your event. For a wedding: groom's side, bride's side, groom's work, bride's work, mutual friends. For a Bar Mitzvah: close family, extended family, school friends, parents' friends. Every event gets its own categories.

Categories aren't just for organization — they power your messaging too. Send a different message to each group, filter the dashboard by category, and see separate statistics for each one. How many from the groom's side RSVPd? How many colleagues? Everything is one click away.

Advanced Search & Filtering

When you have 300 guests on a list, you need to find people fast. The search field finds guests by name, phone, or email — as you type. No need to hit "Search" — results appear instantly.

Beyond search, you can filter by status (attending, not attending, no response), by category, and by response date. Combining filters lets you find exactly what you need — for example, "everyone from the bride's side who hasn't responded yet."

Quick Add & Easy Editing

Adding a new guest takes 5 seconds — name and phone number, that's it. You can optionally add email, category, notes, and expected plus-ones. Every field is optional except the name.

Editing is just as simple — tap a guest and change their details. Update a phone number, move to a different category, or add a note. All changes save automatically.

Plus-One Management

For each guest, you can set the expected number of companions. When the guest RSVPs, they confirm the final count. The system automatically calculates the total — primary guests + plus-ones.

This is critical for planning: meal counts, seating arrangements, and budget all depend on an accurate total that includes companions. The dashboard always shows both numbers: primary guests and grand total.

Export to Excel Anytime

Need to share the list with your caterer? The venue? The DJ? One click exports your entire guest list to an Excel file — with all details, statuses, categories, and meal preferences.

You can export the full list or just the guests you've filtered (e.g., only those who confirmed, or only a specific category). The file is ready to use in Excel, Google Sheets, or any spreadsheet app.

FAQ

How many guests can I add?
There's no limit. The system supports hundreds or even thousands of guests without any performance issues.
Can I import from Excel?
Yes. Upload an Excel or CSV file with name and phone columns — the system imports everyone automatically and detects duplicates.
Can I import from Google Contacts?
Yes. Connect your Google account and select contacts to import — just a few clicks.
What happens if a guest appears twice?
The system automatically detects duplicates by phone number and name. If there's a suspected duplicate, you'll get a warning before the import.
Can I send a different message to each category?
Yes. The campaign system lets you send a different message to each category — a casual note to friends, a formal message to family, and so on.
Can I delete a guest?
Yes. You can delete individual guests or select multiple guests and delete them in bulk. A deleted guest will no longer receive messages.
Is the list saved for future events?
Each event keeps its own list. When you create a new event, you can import guests from a previous event so you don't have to start from scratch.
