When you're managing 50, 100, or 300+ guests for an event, treating them as one big list is a recipe for chaos. Categories transform a wall of names into an organized, actionable system that makes every task faster.
With categories, you can:
Think of categories as labels or tags, not rigid buckets. A single guest can belong to multiple categories — your college roommate who's also a cousin goes in both "Family" and "College Friends." Flexible tagging beats rigid grouping every time.
There's no single right way to categorize guests — it depends on your event. But here are proven structures for the most common event types:

On Tov.events, you create categories when you set up your event, then assign each guest to one or more categories. You can always add, rename, or merge categories later — so don't overthink it at the start. Start with 4-6 broad groups and refine as needed.
Manually tagging 200+ guests one by one sounds tedious — and it is, if you do it wrong. Here's how to be efficient about it:
Batch import with categories. If you're uploading a spreadsheet, add a "Category" column. When you import to Tov.events, the system reads the column and assigns categories automatically. This is by far the fastest method for large lists.
Import from phone contacts. When you import contacts from your phone or Google account, Tov.events lets you assign a category to the entire batch. Import your "Family" group from Google Contacts → tag them all as "Family" in one step.
Bulk selection. On the Tov.events guest list, select multiple guests (checkbox style) and assign a category to all of them at once. Sort by last name or filter by whatever pattern helps you group quickly.
Start broad, refine later. Don't try to create the perfect category structure on day one. Start with 4-5 obvious groups, import everyone, and then split or refine as your list grows. "Friends" might later become "College Friends" and "Work Friends" as you add more people.
Don't over-categorize. Having 20 categories for 100 guests defeats the purpose. If a category has fewer than 5 people, consider merging it with a related group. The sweet spot is 5-8 categories for most events.
Categories aren't just an organizational exercise — they're a tool you'll use repeatedly throughout your event planning. Here's when they come into play:
Invitation campaigns. Send invitations to "Family" first on Monday, "Friends" on Wednesday, "Colleagues" on Friday. This staggers delivery so you're not overwhelmed with responses all at once, and it ensures the most important people hear first.
RSVP tracking. Filter your RSVP dashboard by category: "Show me all pending RSVPs in the Friends category." Now you can send a targeted reminder to just that group instead of blasting everyone.
Seating charts. When it's time to assign tables, your categories are your starting framework. "Family - Bride" goes near the head table. "Work colleagues" can fill a couple of tables toward the back. Categories make the puzzle much simpler.
Budgeting. Some hosts allocate budget by category — "We're spending $X per head on family, $Y on friends." Categories let you see the numbers broken down by group.
Post-event thank-yous. Send a warmer, more personal thank-you to "Close Family" and a friendly but slightly more formal one to "Work Colleagues." Same message base, different tone — categories make it possible at scale.
